Kindle Orphan Outreach (KINDLE) is a local Christian, charitable, non-denominational, non-profit, non-governmental organization established in Malawi in 2000 and registered as a Trust in 2002. KINDLE is an acronym for “Kids in Need Deserve Love and Encouragement”, and was founded from the desire to bring the light of Christ’s hope to orphans, vulnerable children, and their guardians. KINDLE works with communities to support orphans and vulnerable children to reach their full potential as productive members of society. KINDLE’s strategy lies in four main areas, namely: Health (has a community clinic), Education (runs a vocation school, has a primary school and pays fees and other education support at secondary and tertiary level for the most vulnerable within its catchment area, Spiritual impact (runs youths’ programs and spiritual intervention programs) and Community Development (Afforestation, Food security and economic resilience projects). - FINANCE AND ADMINISTRATION MANAGER
JOB SUMMARY
The Finance and Administration Manager is responsible for finance and administration section of KINDLE ORPHAN OUTREACH. The Manager is expected to provide Sound financial advice and effective financial management as well as manage administrative functions of the Organization. This position is a full time, regular position working closely with management team being led by the Director of the Organization.
RESPONSIBILITIES
- Ensure financial compliance of organizational policies and local regulatory frameworks
- Support and take lead in the budgeting process, orienting staff on budget instructions and templates and consolidating submitted financial plans for review by management.
- Track the budget, ensuring variances are kept to an acceptable minimal
- Monitor and control Organization cash flow requirements and cash security to ensure the smooth implementation of all policies and donor financial requirements.
- Provide management with timely financial status reports, including variance analysis, raising a flag where significant variances are observed and provide necessary recommendations.
- Submit timely and accurate monthly financial reports to the director
- Prepare timely donor financial reports
- Manage cash request process
- Provide technical support and coaching to the Accounts Assistant and the Admin/HR Assistant.
- Oversee proper management of bank accounts and ensure bank reconciliations are prepared on time
- Ensure financial records are kept up to date in the organization’s QuickBooks and are accurately captured and coded.
- Undertake regular audits and spot checks
- Manage debtors and creditors
- Ensure cheque books and receipts are properly accounted for and kept in safe and secure custody
- Should be able to do proper management and remittance of all Tax related transactions and documentation (Manage tax returns i.e. PAYE WHT)
- Prepare documents and schedules for annual audit, and liaises with auditors.
Human resources and administration
- Oversee recruitment of staff, consultants, interns and volunteers
- Maintains personnel files, health benefits and other insurances updated.
- Applies Malawi`s employment law to KINDLE HR policies
- Maintain basic administrative systems for the Organization, including information resources, general filing, electronic filing, personnel records, contracts and leases, insurance, etc.
- Ensure that all Organization vehicles are in good condition and with active COF as well as insurance.
- Ensures that there is a good working relationship between staff members.
QUALIFICATIONS AND EXPERIENCE
- Masters/Bachelor’s degree in Accounting/Finance, Economics or related discipline from an accredited university.
- An active member of ICAM
- Minimum of 3 years’ experience in Managing Donor Funded organizations/Philanthropies and working in a similar role.
- Good analytical and conceptual skills to plan and monitor budgets against actuals
- Administration experience in a busy environment
- Good computer skills, including top notch experience using Financial Software package (QuickBooks), Microsoft Word, Excel and Emails.

2. CLINIC DATA AND BOOK KEEPING CLERK
JOB SUMMARY:
The Clinic Data and Book Keeping Clerk (CD-BKC) is stationed at Katawa Community Clinic, one of Kindle’s departments located at Kanzimbe. The roles are basically completion and management of patient register and handling of user fees and any other funds entering the organization through Katawa Community Clinic. The CDBKC reports to the Clinic Manager.
RESPONSIBILITIES
- Manage Clinic Data and User fees with high integrity and professionalism.
- Banking all fees/funds received from clinic income generating activities weekly
- Produce monthly clinic data reports and clinic financial reports
- Liaise with the Monitoring and Evaluation Manager to produce credible data for the clinic on monthly and quarterly basis.
QUALIFICATIONS AND EXPERIENCE
- Certificate in accounting or Public health
- A strong experience working in a hospital/clinic setup
- Minimum of 2 years in Health data management
- Those with experience working as a cashier/clerk for a clinic have an added advantage.
- Excellent in computer packages (Excel, Email and Word).

- Possession of a valid driving license
3. HUMAN RESOURCES AND ADMINISTRATION ASSISTANT
This reports to the Finance and Administration Manager. The work station for the position is KINDLE Central Administration Office.
RESPONSIBILITIES
- Filling, documenting HR/Admin documents i.e., contracts and leave forms
- Manage all organization vehicles ensuring that all are in a good condition
- In consultation with the Finance and Administration manager arrange for repairs where necessary.
- Be a self-starter, goal oriented and team player.
- In conjunction with the Finance and administration manager review and take lead in HR policy formulation and implementation.
- And be able to handle any other secretarial duties at the central administration office.
QUALIFICATION AND EXPERIENCE
- Diploma in Business Administration/Human Resources Management
- Minimum of 2 years working experience in a busy environment
- Excellent in computer packages (Excel, Email and Word)
- Those with license and motor vehicle driving experience have an added advantage.
